  • Request for Proposal (RFP) Development and Distribution

    Upon receiving your meeting preferences and specifications, we will create a customized RFP and circulate it to the hotels that are best suited to your program in the city or cities of your choice.

  • Hotel Availability Listing

    Within 48 business hours of contacting us, we will provide an initial detailed listing of available hotel options in your city or cities of interest; including rates, websites, concessions offered and any other special needs or accommodations for your group.

  • Site Visit Arrangements & Property Selection

    Once you have decided which properties suit your needs, we can arrange a detailed site visit for you. We will coordinate your transportation, provide complimentary overnight accommodations and arrange your site inspection appointments. We will provide each hotel with a detailed outline of your event needs to ensure all concerns are addressed during your visit. We feel confident once you have visited the properties, you will have the information needed to choose the best hotel for your event.

  • Contract Negotiation

    Once a property is chosen, we will negotiate the best possible prices, concessions, terms and conditions on your behalf to ensure we are maximizing your meeting dollars. As prior hoteliers, we have an advantage and are able to leverage our experience, expertise and buying power to negotiate the most favorable terms possible.

  • Mitigating Your Financial Risk

    Hotel contracts are written by attorneys to protect the hotels.  During the negotiation process, we suggest legal verbiage that offers reciprocal protection. Hotels often add additional fees through a variety of methods within their standard contracts.  Often, we are able to have those hidden fees removed so there are no surprises when your final bill arrives. During the contract negotiation process, we also request reductions in attrition charges and cancellation penalties thus reducing your financial risk should your attendance be lower than contracted.
