Choosing just the right venue can be tedious but critical to the success of your meeting or event.

  • Hotel Availability Listing- HAL- We will provide an initial listing of hotel information to you within 72 hours of our initial contact. This detailed listing has available options in your area of interest - including website, rates and concessions and any other special "hot button" areas of interest from the properties. From this HAL, we typically narrow the choices. We then obtain full sales kits for you for your top choices.

  • Site Matrix- CMI will provide a detailed Site Matrix with specific information for each property. You will then make your final decision based on our recommendations.

  • Site Itinerary- Once you have decided which properties you would like to visit, CMI will arrange all details pertaining to the site visits. We will coordinate transportation, site inspection times with the hotel sales managers and provide each hotel with an accurate detailed outline of your program so that all concerns are addressed at this visit.

    We provide you with a detailed itinerary with the site inspection dates and times, confirmation numbers, emergency phone numbers, directions and of course a cell phone number to reach CMI for anything you may need while you are on your site visit.

    We can also accompany you on your site visit. Knowing just what to look for and what questions to ask sales managers can be very helpful. Some of our clients prefer that we conduct the site visits for them.

  • Site Selection – CMI's Site Matrix pinpoints the potential hotels and facilities that fulfill your needs and summarizes all critical criteria in an easy to read matrix. Every detail you need to make an informed decision is included, resulting in the selection of the venue perfectly suited for your meeting and your budget.

  • Contract Negotiation – CMI will negotiate the best possible prices, terms and conditions on hotel contracts, Group rates, complimentary allotments, airlines, rental cars, etc..

    As prior hoteliers for over ten years, we are able to leverage our experience, expertise and buying power to negotiate the most favorable terms possible and secure value-added services that most companies could not obtain in their own as well as limiting their liabilities from unforeseen and unbudgeted expenses.

  • Sponsorships- You may be able to defray some of your costs by developing sponsorship programs. We will assist in developing them, contracting with them and making all the necessary arrangements.
